The Graphwise for M365 integration features introduce a new search field that is powered by semantic search. The new field allows users to run queries across their whole document libraries with the promise of better performance.
Relying on the semantic concepts that annotate documents in SharePoint, semantic search engines can retrieve documents regardless of a user’s language in the search field.
Semantic search uses the bundling of synonyms to ensure that a user gets all the information they seek, plus other helpful content.
Faceted Search
Search facets are an efficient way to narrow down the search space and results according to a user’s search intent.
Using Graphwise for M365 in SharePoint, you can narrow down the categories of your document library to get nearer to the content you need more quickly. In a matter of seconds, the user can reduce the number of documents that are retrieved based on the semantic tags.
Explore concepts in a new Info Box
The search capabilities in SharePoint now come with a newly added Info Box that provides all the relevant information about a concept.
Consider the concept Renewable Energies, which has the alternative labels renewables and alternative energy. If a user searches the keywords “alternative energies,” the engine will draw upon all the synonyms tagged under that umbrella concept in bold, meaning that the user is given all the documents related to their search even if they haven’t specified it.
The Info Box can be used as a springboard to see how concepts relate to each other and let you jump to other topics relevant to your search.
Find things quickly in Teams
These same features can also be explored in Microsoft Teams. You’ll benefit from advanced search capabilities and the displayed contextual tags.
In a Teams channel, you can create a post with an attachment that will be automatically tagged by the Graphwise semantic features that are working in the background. You can click on these tags to explore other documents within that Teams channel and search for additional content directly within Teams with a more precise semantic search field. These tags are also included in the Managed Metadata column that is stored in the associated channel document library.
Get more comprehensive answers in Copilot
Another way for users to retrieve information is through Copilot, Micorsoft’s in-application AI assistant. Based on the underlying knowledge model, our technologies enhance the output of Copilot with more precise answers and valuable insights.
In Teams, for example, you can send files for automatic tagging directly from the app and ask Copilot to look for documents according to a specifc topic (based on a tag). You can also ask Copilot questions about the documents and get summaries that are enhanced by the knowledge graph.
Annotate your documents with richer tags in a fraction of the time.
Graphwise automatically extracts the most relevant terms and phrases from a given document or text to form semantics concepts. Where enterprises often experience weeks of manual work to update documents with (rather simple) tags, Graphwise can provide more precise and enriched tags with no hassle. With automated tagging, enterprises can reduce overhead costs by removing the need for additional resources – which are often sourced by subject matter experts who could be better occupied in other tasks – and reducing the time spent on maintaining tags.
Refine tags as needed.
The Graphwise for M365 integration features include an expert-assisted workflow for tagging– in other words, semi-automatic. This feature that is pictured in the screenshot gives the user or expert the opportunity to review and approve tags that have been sent automatically to the SharePoint library. Tags can be added or removed with just a few clicks in the user-friendly pop-up.
Automated tagging to Managed Metadata column.
Managed Metadata is a column native to SharePoint that lets you select terms from a specific term set and add them to your list and libraries. This column is often used by SharePoint users to enable consistent metadata across their libraries because the metadata can be applied to the content with a click.
Tags that run from Graphwise Taxonomies into the Term Store are also added automatically to this Managed Metadata column. As a result, there is full compatibility of semantic tagging to the native SharePoint features, allowing for the possibility to scale up integrations with other Microsoft applications.
Manage your content centrally in the Graphwise Taxonomy Editor.
A taxonomy is championed for its ability to index information in a hierarchically structured format – organizing terms (or tags) according to the relations between them. It is these relations that help semantic search be so effective, and why a centrally managed SharePoint taxonomy could make all the difference.
Tag content with more than one taxonomy.
Not only can you manage your taxonomy centrally, you can also use multiple taxonomies for a source of tagging by simply selecting the taxonomies you wish to draw from. These tags can also be separated into the different concept schemes that lie within the various taxonomies.
Say for example, that a user wants to tag their library based on an environmental taxonomy and a finance taxonomy. The user connects the library to these taxonomies and within the finance taxonomy, specifies that the content should be tagged based on the concept schemes “revenues” and “taxes.” The library covers more “ground” by drawing from the multiple taxonomies, but is also more precise based on the concept schemes.
Automatic sync of enterprise taxonomies to SharePoint Term Store.
The Graphwise for M365 integration features provide a user-friendly taxonomy editor that lets you maintain all your taxonomies in one place, and transfers the data to the SharePoint Term Store with the click of a button.
In a standard use case, a company needs to first sync their term sets from the SharePoint Term Store to the Graphwise taxonomy in order to first load the taxonomy with their existing tags. The tags can be refined as needed in Graphwise (with a strong taxonomy management tool) and then synced back to the Term Store so that they can be made available in the SharePoint frontend.
The benefits of the Graphwise integration:
- GUIDs (Globally Unique Identifiers) are preserved across synchronizations
- You can maintain the mapping between the Term Store ID and the concept URI in Graphwise for scalability
- When changes have been made to the taxonomy, you can re-synchronize terms or delete the term groups when they are no longer needed
Through the synchronization, users can begin to experience the positive effects of a centrally managed taxonomy system right away.
How it all works.
So that you don’t have to mediate multiple servers to use the tool, the Graphwise for Microsoft 365 architecture relies on integrations with the following Microsoft products:
- SharePoint Framework (SPFx)
- Microsoft Graph API
- Microsoft Azure
With Microsoft Azure serving as the connector between Graphwise and SharePoint, data can flow freely from the Graphwise back-end and SharePoint Online interface. On the SharePoint side, tags that are stored in the document libraries and lists are pulled from the search engine to produce results based on what the user enters in the search field.
